How to nominate

Partners must nominate students in our online nomination system:

We have two nomination periods, depending on the student’s study period:

  • Autumn semester: 1 March - 15 April
  • Spring semester: 15 September- 15 October

Please nominate your students well in advance of the deadline to make sure they have time to complete their applications within the deadline.

Nomination process – step-by-step

Step 1: Log in to the online NominationWeb

  • Username: your own e-mail address at work, or an institutional email address. Note! Use small letters - no capital letters.   
  • Password: To log in the first time you must order a password from the login page. Enter your username and click on "Send password".

Step 2: Nominate a student

Add the following information about your student:

  • E-mail address
  • First name (as written in passport)
  • Family name/surname (as written in passport)
  • Gender
  • Date of birth (in the format YYYY.MM.DD)
  • Citizenship
  • Study area/faculty
  • Term (semester for nomination)

Note that Erasmus students cannot be nominated for a consecutive spring-autumn semester, only autumn-spring, or for one semester only.

After completing the student's information, click "Add Nomination" to save the data. After approx. 30 minutes the system will send an e-mail to the nominated student's e-mail address (with instructions on how to apply). If you wish to cancel the nomination of the student, you can do this within the next 30 minutes by clicking on the delete button (red circle with the white cross). Cancellation ensures that no e-mail will be sent to the student.

Please note that the data you have entered about the student cannot be edited once it has been saved. If you have typed incorrect data, you must delete the nomination and then click “Add New Nomination” to start the process again.

Step 3: Add more students

Complete step 2 for each student your institution is nominating to HVL. You may log in again later to upload more documents and to check the application status of your nominated student(s).
